How a DOT background check works
- You order the DOT package and send the driver an online invitation.
- The driver consents, lists their DOT employers from the past 3 years, and provides their license details.
- We contact each prior DOT employer for employment dates, safety performance and drug and alcohol testing history, and pull an MVR from each state of licensure.
- The driver completes the drug test at a nearby collection site.
- You run the Clearinghouse query in your FMCSA Clearinghouse account or we run it for you as your authorized agent, and the driver approves it there.
- You get one report with everything you need for the driver qualification file.
The FMCSA Drug & Alcohol Clearinghouse
The Clearinghouse is FMCSA’s database of CDL drivers’ drug and alcohol violations, such as positive tests and refusals. Before hiring a CDL driver, you must run a full query, which the driver has to approve in their own Clearinghouse account. After that, you must run at least a limited query on every CDL driver once a year.
A driver with an unresolved violation can’t perform safety-sensitive work until they finish the return-to-duty process with a substance abuse professional.
What can delay a DOT check?
- Slow prior employers. DOT rules give former employers 30 days to respond. We follow up and document every attempt, which the rules also require of you.
- The driver hasn’t approved the Clearinghouse query. The driver must log in and give consent before results release.
- Collection site scheduling for the drug test.
- Drivers with many past employers or several states of licensure.
Building the driver qualification file
FMCSA requires you to keep a driver qualification (DQ) file for each CDL driver. It typically includes the employment application, the 3-year employment and safety history, MVRs, the road test certificate or equivalent, the medical examiner’s certificate, and the annual MVR review.
